SSC Event Services: Office Administration

These student assistants oversee the operation of the SSC Event Services office and the information desk in the Student Organizations Annex.

They provide basic and advanced office support including greeting visitors, answering phones, approving campus postings, filing papers, and running errands.

They also process event requests and schedule space reservations, input reports, and fill work orders. They must maintain awareness of LU's daily event schedule and all related information.

Required Qualifications for All Office Assistants

  • Must be available to work 2- to 4-hour blocks during regular office hours: 8 am - 5 pm, Monday – Friday
  • Must be knowledgeable about the LU campus, university services, and building/department locations
  • Exceptional customer service skills
  • Exceptional verbal communication skills

Front Desk Assistant

  • Operate the information desk of the Student Organizations Annex
  • Provide information to visitors including details about daily on-campus events and directions to campus buildings

Office Assistant

  • Operate the SSC Event Services office
  • Student event planning: enter preliminary information for space requests, ask necessary questions for assigning space, review space requests for completeness, follow up with clients as necessary, find alternate meeting/event space as necessary, advise student groups on event planning issues
  • Daily event management: daily binder set-up, unlock meeting rooms, check out equipment, process payments from vendors and clients

Preferred Qualifications

  • Problem-solving skills in booking space, assigning equipment, and resolving payment issues

Senior Office Assistant

  • Supervision: oversee the Front Desk Assistant and Office Assistant, delegate tasks as needed, ensure the uninterrupted operation of the SSC Event Services office in the absence of the Special Events Coordinator
  • Office support: greet visitors, answer phones, approve campus postings, file papers, run errands, process event reservations, input reports, fill work orders
  • Student event planning: enter preliminary information for space requests, ask necessary questions for assigning space, review space requests for completeness, follow up with clients as necessary, find alternate meeting/event space as necessary, advise student groups on event planning issues
